QUICKBOOKS ONLINE INTEGRATION

QuickBooks sync for repair shops — stop re-keying your own invoices

Finish the job in the app and it goes to QuickBooks Online with every line, the tax code, the discount and the signed completion record. Payments come back the other way. No more typing Tuesday's work into the books on Sunday night.

What actually moves

Here's exactly what goes between the app and your books.

App → QuickBooks

Invoices

Issued invoices with each line item kept separate — parts, labour, shop supplies and discount rows.

Customers

New customers created in the app, with billing details and payment terms.

Tax codes

The exact tax code carried from the customer and the shop setting, not a guess from a percentage.

Completion PDF

The signed completion record attaches to the synced invoice, so the paperwork travels with the money.

QuickBooks → App

Customers

Customers created in QuickBooks appear in the app with their details intact.

Payment status

Invoices marked paid in QuickBooks come back paid, so the job list and the books agree.

Payments

Payments recorded against an invoice are mirrored, so a part-paid job stays part-paid in both places.

Tax codes

The tax codes your bookkeeper maintains drive the app's rates instead of being re-typed.

Three ways books drift from invoices

None of them are dramatic. All of them cost money quietly.

One lump line called "repair"

When the whole job posts as a single line, the parts cost disappears inside it. You cannot see margin per job, and neither can your accountant. Separate lines make the parts profit visible.

Tax code by habit

The person typing picks a code from memory. A PST-exempt customer gets taxed or doesn't, depending on who invoiced that week. That is a remittance problem, not a rounding error.

The invoice that never got recorded

The job's done, the customer paid, and the invoice is still a photo in your camera roll. Every one of those is money your books don't know about.

How a synced job runs

1

Connect QuickBooks Online once

Authorize the connection from Settings as the shop owner. No export files, no CSV round trips, no desktop connector to keep running.

2

Work the job the way you always do

Parts, labour, notes, photos, the signed completion record. Nothing about the sync changes how the tech writes up work.

3

Finish and invoice

Finish & Invoice creates the invoice in the app and pushes it to QuickBooks with its line items, tax, discount and attachment.

4

Let payments come back

When the customer pays, the status mirrors back. Your job list and your books stop telling two different stories.

One honest limitation: the connection is QuickBooks Online only. Desktop files, locally installed editions and third-party desktop connectors are not supported.

Tax that survives the trip

GST and PST are applied as separate rates, with the customer's exemption flag and the shop's tax code carried onto the invoice you send, not left to whoever is typing that night.

The paperwork goes with it

A signed completion record is generated when the job closes and attaches to the QuickBooks invoice, with the photos, notes, labour and parts your customer signed for.

Payments come back

Record the e-transfer or cheque in the app and the paid status mirrors both ways, so a job that was paid on site stops showing as outstanding.

Nothing silently fails

Each invoice shows whether it synced, didn't, or failed, so you spot a problem in the app instead of at year end.

Questions about the sync

What connects, what travels, and what does not.

QuickBooks Online only. QuickBooks Desktop isn't supported, so if you're on Desktop, know that before you switch.

Your books and your invoices should agree.
