1. Introduction
JSD ServicePro ("we", "us", or "our") provides a mobile-first platform for heavy equipment repair shops to manage work orders, invoices, customer relationships, and accounting integrations. This Privacy Policy explains what data we collect, how we use it, and the choices you have regarding your information.
2. Information We Collect
- Account Information: Your name, email address, and role when you register.
- Business Data: Customer records, assets, work orders, invoices, estimates, inspections, and service reminders you create within the platform.
- Uploaded Files: Photos, inspection PDFs, and payment proof images you or your technicians upload.
- Payment Information: Subscription billing is processed by Stripe; we do not store your full card details.
3. QuickBooks Online Integration
JSD ServicePro integrates with QuickBooks Online (Intuit) so you can sync customer records, invoices, and payment status between this platform and your QuickBooks company file. When you authorize the QuickBooks connection, Intuit grants us an OAuth access token and refresh token scoped to com.intuit.quickbooks.accounting for the single QuickBooks company you select at connection time.
What QuickBooks data we access and how we use it:
- Customers: We read customer names, email addresses, billing addresses, and phone numbers from your QuickBooks company to match and populate customer records in JSD ServicePro, and we create or update QuickBooks customers when you add or edit them here.
- Invoices: We create invoices in your QuickBooks company from work orders you complete in JSD ServicePro, and we read invoice numbers, due dates, balances, and payment status back so the platform stays in sync.
- Payments: We read recorded payment amounts and methods from QuickBooks to mark invoices as paid within this platform. We do not process or store credit card or bank account numbers — payment processing is handled by QuickBooks and Stripe under their own security standards.
- Tax rates: We read sales tax rate settings from your QuickBooks company so invoices sync with the correct tax treatment.
We store only the OAuth access and refresh tokens and your QuickBooks realm ID required to maintain the connection. We do not store your QuickBooks password. We do not share your QuickBooks data with any third party. You may disconnect QuickBooks at any time from the in-app Settings page or from your QuickBooks account's authorized applications list; doing so immediately revokes our tokens and disables all syncing. We delete your stored QuickBooks tokens when you disconnect or when your account is closed.
4. Google API Data Usage & Limited Use
JSD ServicePro offers optional Google integrations. When you connect them, you sign in with Google and authorize specific access scopes. Google user data is used only to provide the features you enable and is handled in accordance with Google's API Services User Data Policy, including the Limited Use requirements below.
4.1 Google Sign-In
We use Google Sign-In (OpenID Connect) for authentication. When you sign in with Google, we receive your basic profile (name and email address) and use it solely to create and identify your JSD ServicePro account. We do not use your Google profile information for advertising and do not share it with third parties.
4.2 Google Calendar
When you connect Google Calendar, we request access to view and manage events on the calendars you authorize. We use this access to:
- Read calendar events so we can show external appointments alongside your scheduled service jobs in the in-app scheduling calendar.
- Create, update, and delete calendar events that mirror the service calls you schedule in JSD ServicePro, so your field service jobs appear on the Google Calendar you and your team already use.
We only access the specific calendars you grant during authorization and only transfer the event details (date, time, title, and work-order summary) needed to represent your scheduled jobs. We do not read or store the contents of unrelated calendar events beyond what is needed to display them in the scheduling view.
4.3 Gmail (Send on your behalf)
When you connect Gmail, we request permission to send email on your behalf from the connected Google account. We use this solely to transmit business communications you initiate or approve through JSD ServicePro — including estimates, invoices, service reminders, customer follow-ups, and review requests — to your customers. We do not read, scan, index, or analyze the contents of your Gmail inbox, and we do not use Gmail data for advertising or any purpose other than sending the messages you trigger within this platform.
4.4 Limited Use Disclosure
JSD ServicePro's use of information received from Google API scopes adheres to Google's API Services User Data Policy (including its Limited Use Requirements). Specifically:
- We only transfer Google user data to third parties if it is necessary to provide the feature you enabled (for example, passing an event to Google Calendar, or sending an email you composed through Gmail), and never for advertising or third-party analytics.
- We do not use Google user data to serve personalized ads or to measure advertising performance.
- We do not use Google user data to develop or improve our own models or services in a way that identifies you or your customers, except as required to provide and maintain the features you enabled.
- We do not use Google user data to develop or improve models or services for any other party.
Google user data is retained only for as long as needed to provide the connected feature and is deleted when you disconnect the integration or close your account, except where retention is required by law. You can revoke Google access at any time from the in-app Settings page or from your Google Account security settings; revocation immediately disables the affected features and causes us to stop reading or writing via that Google API.
5. AI-Assisted Features & Google User Data
JSD ServicePro offers AI-assisted features — including supplier parts invoice scanning/extraction and diagnostic pattern summarization — that help you document jobs and build quotes faster. These features are powered by third-party AI/ML services engaged strictly as processors, and they operate only on:
- Business documents you or your technicians upload (supplier parts invoices and photos); and
- Work order, estimate, and inspection records created by your users within JSD ServicePro.
5.1 No Google User Data Is Used by AI Features
No Google user data is ever transferred to any third-party AI/ML service or used to create, train, develop, improve, or fine-tune any foundational or generalized machine learning or artificial intelligence model. Specifically:
- Gmail data: our Gmail integration is send-only. We transmit messages you compose within JSD ServicePro; we do not read, scan, index, or analyze your inbox, and no Gmail content is ever sent to an AI/ML service.
- Google Calendar data: calendar event details are used solely to display your schedule and mirror your service jobs to your calendar; no calendar data is ever sent to an AI/ML service.
- Google Sign-In data: your name and email address are used only to create and identify your account; they are never used as AI input.
- No raw, aggregated, anonymized, or derived Google API user data is transferred to any third-party service that uses data to train its AI/ML models, and JSD ServicePro does not use Google user data to build or improve any model for ourselves or any other party.
These commitments apply to all AI-assisted features in the platform and are made in accordance with Google's API Services User Data Policy, including its Limited Use requirements (see Section 4.4).
6. CRM & Automated Communications
The platform includes optional CRM automation that can send service follow-up emails to your customers on your behalf. You control the automation level (Manual or Auto) and the follow-up interval per customer. Every automated email includes an unsubscribe link. We do not sell, rent, or share your customer contact data with third parties.
7. Data Security
Data is stored in encrypted databases with row-level access controls ensuring that each user can only access records they own or are explicitly permitted to see. All network communication uses HTTPS. We follow industry best practices, but no system is 100% secure and we cannot guarantee absolute security.
8. Data Retention
We retain your business data for as long as your subscription is active. If you cancel your subscription, you may request full export and deletion of your data within 30 days of cancellation. After that period, data may be permanently removed.
9. Third-Party Services
The platform integrates with QuickBooks Online (Intuit), Stripe for payments, and Google (Google Sign-In, Google Calendar, and Gmail, as described in Section 4). Each of these providers has its own privacy policy governing data they process on their infrastructure. We are not responsible for the privacy practices of these third parties.
10. Your Rights
You may access, correct, or request deletion of your personal data at any time by contacting your account administrator. Customers who are not registered app users may opt out of automated communications via the unsubscribe link in any email or by contacting the shop directly.
